PracticeVendors (practicevendors.com) helps medical practices compare billing, credentialing and coding companies. This policy explains what we collect, why, who sees it and how long we keep it. Questions go to info@practicevendors.com.
Do not send us patient information
None of our forms need protected health information (PHI). Please do not enter patient names, dates of birth, claim details or any other patient data. If you send it by mistake, tell us and we will delete it.
What we collect
- Quote and match requests: practice type, specialty, state, number of providers, claim volume, current EHR, services needed, timeline, your name, business email and phone, and your consent to be contacted.
- Reviews: your name, email address, your ratings and written review, and details about your practice (specialty, size, how long you worked with the company). We email you a link to confirm the review.
- Vendor accounts, claims and listings: contact details of the person who claims or manages a listing, the company information they add, and the documents they send us for verification.
- Payments: paid plans and lead purchases are processed by Stripe. We do not see or store card numbers. We keep a record of what was bought and when.
- Technical data: our server logs IP addresses and browser details for security. Your IP address is also used for a short time (minutes) to stop form spam.
How we use it
- To send your request to the companies you chose, or to the companies we match to your needs.
- To confirm, moderate and publish reviews.
- To check that the people who claim a listing really work for that company.
- To answer your messages and run the site safely.
We do not sell your personal information to data brokers and we do not use it for advertising networks.
Who sees your information
- Companies you ask for quotes: when you request a quote or a match, the companies that receive it see your request and contact details so they can reply. Some companies pay PracticeVendors to receive requests. You choose this when you tick the consent box.
- Review readers: published reviews show the name you entered (or “Verified practice reviewer” if you left it blank), your ratings, your review and practice details. Your email address is never shown. The company you reviewed can post a public reply.
- Service providers: Stripe (payments) and our hosting provider. They only process data to provide their service to us.
- The law: if a valid legal request requires it.
Cookies
- A one-day cookie on company profiles so a profile view is counted only once per visitor per day. It contains no personal data.
- Your browser keeps the list of companies you picked to compare until you close the tab. It never leaves your device.
- Login cookies for vendors and administrators who sign in.
We do not use advertising or cross-site tracking cookies.
How long we keep it
- Quote and match requests: deleted automatically after 180 days.
- Reviews: kept while the review is published. Unconfirmed reviews expire.
- Vendor account and payment records: kept as long as the account is active and as long as tax and accounting rules require.
- Backups: kept for 14 days.
Your choices
Email info@practicevendors.com to get a copy of your data, correct it, delete it or remove a review you wrote. We reply within 30 days. California residents have these rights under the CCPA, and we do not sell or share personal information as those terms are defined there.
Security
The site uses HTTPS everywhere. Access to stored data is limited to the people who run PracticeVendors. No system is perfectly secure, so we keep only what we need.
Children
PracticeVendors is a business service. It is not meant for anyone under 18.
Changes
If we change this policy, we will update the date at the top of this page.
